Job Objective: A brief overview of the position. Works under the
direct supervision of the Director of Medical Staff Services, Vice
President of Primary Care Services, Vice President of Specialty
Medicine Clinics, and Vice President of Surgical Services. Assists
in administrative operations as directed by the Medical Staff
Director and the Vice Presidents. Performs general
secretarial/clerical duties and meeting management for the Vice
Presidents and Medical Staff Services.
Reports to Director of Medical Staff Services & Vice President
of Primary Care Services, Vice President of Specialty Medicine
Clinics, and Vice President of Surgical Services.

Qualifications Education Preferred: Medical Terminology,
Advanced secretarial/Business courses
Experience Required: Two years secretarial experience in
Essential Responsibilities Demonstrates compliance with Code of
Conduct and compliance policies, and takes action to resolve
compliance questions or concerns and report suspected
Maintains high degree of confidentiality, e.g., in situations
involving counseling, patient issues, employee issues, and meetings
in which confidential matters are discussed.
Proficient with Microsoft Word, Excel and PowerPoint. Types
correspondence, minutes, agendas, monthly reports, forms and other
documents for the Vice Presidents (VP) and Medical Staff Services.
Able to use Excel as needed. Able to use PowerPoint to generate
presentations and other documentation.
Coordinates, updates, and maintains Outlook calendar for Vice
Presidents and Medical Staff Services, with current schedule of
events, committees, appointments, and other meetings.
Meeting invites are sent to required attendees through Outlook
or personally called. Meeting rooms and any Nutritional Services
needs are arranged. Agendas and corresponding documentation and
attendance sheets are distributed at meetings and minutes are
Opens, reviews, prioritizes, and distributes mail and
interoffice correspondence received for the Vice Presidents.
Distributes VP’s written or printed documentation to Administrative
Directors, Directors, and others as requested.
Answers Vice Presidents’ and Medical Staff Services phones in a
professional manner, re-directs to other personnel as appropriate,
and ensures that high priority requests are relayed quickly and

Greets and screens “walk in” traffic for the Vice Presidents and
Medical Staff Services. High priority requests are relayed quickly
